B2B TERMS & CONDITIONSWelcome! These Terms and Conditions (“Agreement”) cover mobile escape rooms, puzzle experiences, and related services (“Event” or “Services”) provided by Fox Trail Games, LLC (“Company”) to the corporate, educational, or institutional client (“Client”) listed on the applicable contract or Purchase Order (PO). By signing a contract, submitting a PO, or authorizing an Event, you agree to these terms.1. BOOKING CONFIRMATION & RESERVATIONS
* Locking In Your Date: Event dates and times aren't fully reserved until we receive either (a) a fully signed contract or (b) written approval of a formal Purchase Order (PO) from an authorized representative.
* Large Group Notice (30+ Players): If your event has more than thirty (30) participants, we need final confirmation on group size, scaling needs, and setup details at least fourteen (14) calendar days prior to the event date so we can ensure proper staffing and game deployment.2. PAYMENT TERMS & NET 30
* Invoicing: We will issue an invoice for the agreed-upon total upon date confirmation or immediately following the Event, as outlined in your agreement.
* Net 30: We operate on a Net 30 schedule—payment is due within thirty (30) calendar days from the invoice date.
* Late Payments: Past due balances incur a late fee of 1.5% per month (or the maximum rate allowed by law, whichever is lower) starting from the date the invoice becomes past due.3. CHAPERONE RATIOS (FOR SCHOOL & YOUTH GROUPS)
For school, youth, or educational bookings, Client must maintain minimum adult supervision at all times during the Event. In line with Virginia educational guidelines and standard regional school board policies, required ratios are:
* Grades K–5 (Elementary): At least 1 adult chaperone for every 10 players (1:10).
* Grades 6–8 (Middle School): At least 1 adult chaperone for every 15 players (1:15).
* Grades 9–12 (High School): At least 1 adult chaperone for every 20 players (1:20).
* Client Responsibility: Chaperones are provided by the Client and must remain actively present with their groups to manage behavior. Fox Trail Games team members are on-site strictly to handle game logistics, tech operations, and puzzle gameplay.4. WAIVERS & PARTICIPANT LIABILITY
* Waivers Required: Every participant (or a parent/legal guardian for minors) must complete and sign a Liability Waiver before playing.
* Custom Link Options: We know organizations have different compliance tools. You can collect waivers using a dedicated digital form link (like a Jotform link we provide) or an approved corporate compliance form.
* No Waiver, No Play: Anyone without a completed waiver won't be able to join the experience, and we can't offer refunds or pro-rated credits for missing participants.5. PHOTO & MEDIA RELEASE
* Capturing the Experience: We love showcasing the fun! Client grants Company permission to take photos, videos, or digital media during the Event, unless an individual explicitly opts out or Client notifies us in writing before the Event.
* How We Use Media: We may use and share this media for marketing, promotional, social media, and portfolio purposes.
* Privacy First: We will never publish participant names or sensitive corporate information without explicit written consent.6. SITE REQUIREMENTS, TRAVEL, AND INSURANCE
* Space & Power: Client is responsible for providing a safe, clean, and structurally sound space (indoor or covered, per contract specifications) of adequate size, along with access to electricity outlined in the setup brief.
* Parking & Loading Access: Client must arrange clear loading/unloading access and dedicated parking for Company vehicles. Any venue parking fees, tolls, or permits are the Client's responsibility.
* Company Insurance: We maintain commercial general liability insurance suitable for mobile events. We can provide a Certificate of Insurance (COI) naming Client or venue as an additional insured upon request with at least five (5) business days' notice.
* Client Property: Company is not responsible for pre-existing damage to the venue or property, unless directly caused by gross negligence or intentional misconduct by our team during setup, play, or teardown.7. LEGAL FINE PRINT
* Severability: If any part of this Agreement is found to be invalid or unenforceable, the rest of the terms remain in full effect.
* Governing Law: This Agreement is governed by the laws of the Commonwealth of Virginia. Any legal actions related to this Agreement must be brought in a court of competent jurisdiction in Richmond, Virginia.
