Instead of sending your team to a fixed location, we transform your office, conference room, lobby, or marketplace into an active, high-stakes investigation hub.Your group is organized into one or more teams, briefed on a critical mission, and handed an array of high-end, custom-fabricated physical assets—from locked wooden chests and complex cipher wheels to hidden objects and encrypted documents. To succeed, players must pool their intelligence, communicate in parallel, and piece together the clues to complete the challenge.We handle the logistics, the setup, and the live facilitation. BUSINESS-TO-BUSINESS (B2B) TERMS & CONDITIONS
These Terms and Conditions (“Agreement”) govern the provision of mobile escape rooms, puzzle experiences, and related services (“Event” or “Services”) provided by Fox Trail Games, LLC (“Company”) to the corporate, educational, or institutional client (“Client”) listed on the applicable contract or Purchase Order (PO). By executing a contract, submitting a PO, or authorizing an Event, Client agrees to be bound by these terms.1. BOOKING CONFINMATION, PO APPROVAL, AND RESERVATIONS
Date Lock-In: Event dates and times are not guaranteed or reserved until the Company receives either (a) a fully executed contract or (b) written approval of a formal Purchase Order (PO) from the Client's authorized representative.Large Group Notice Requirement: For Events with an anticipated headcount larger than thirty (30) participants, Client must provide final confirmation of group size, event scaling requirements, and logistical details at least fourteen (14) calendar days prior to the scheduled Event date to ensure adequate staffing and puzzle deployment.2. PAYMENT TERMS & NET 30
Invoicing: Company will invoice Client for the total agreed-upon amount upon date confirmation or immediately following the Event, as specified in the booking contract.Net 30: Payment is accepted on a Net 30 basis. Client agrees to pay the full invoice amount within thirty (30) calendar days from the date of the invoice.Late Payments: Past due balances may be subject to a late fee of 1.5% per month, or the maximum rate permitted by law, whichever is less, calculated from the date the invoice becomes past due.3. CHAPERONE-TO-PLAYER RATIOS (FOR EDUCATIONAL/YOUTH GROUPS)
For school, youth, or educational Client bookings, Client must maintain a minimum supervisor-to-player ratio at all times during the Event. In alignment with Virginia educational guidelines and standard regional school board policies, the following chaperone ratios are required:Grades K–5 (Elementary): A minimum of one (1) adult chaperone for every ten (10) players (1:10 ratio).Grades 6–8 (Middle School): A minimum of one (1) adult chaperone for every fifteen (15) players (1:15 ratio).Grades 9–12 (High School): A minimum of one (1) adult chaperone for every twenty (20) players (1:20 ratio).Client Responsibility: Chaperones must be provided by the Client and must remain actively present with the designated groups to monitor behavior. Company staff are present strictly to facilitate game logistics, technical operations, and puzzle gameplay.4. WAIVERS AND PARTICIPANT LIABILITY
Waiver Requirement: Every participant (or the parent/legal guardian if the participant is a minor) must complete and sign a Liability Waiver prior to participating in the Event.Alternative Forms: Company acknowledges that Client may utilize external or specialized compliance platforms for their personnel. Client may administer and collect these waivers via a separate digital form link (e.g., a dedicated Jotform link provided by Company or a pre-approved corporate compliance form).Non-Participation: Any individual who has not executed a waiver will be barred from participating in the experience, and no refunds or pro-rated credits will be issued for that individual's absence.5. PHOTO AND MEDIA RELEASE
Grant of Rights: Client grants Company the right and permission to take photographs, video recordings, or digital media of the Event, including participants in the immediate game area, unless an individual explicitly opts out or Client notifies Company in writing prior to the Event.Usage: Company may use, edit, copy, and distribute such media for marketing, promotional, social media, and portfolio purposes.Commercial Exclusivity: No participant names or sensitive corporate data will be published without separate, explicit written consent.6. SITE REQUIREMENTS, TRAVEL LOGISTICS, AND INSURANCE
Space and Utilities: Client is solely responsible for providing a safe, clean, and structurally sound space (indoor or covered, depending on contract specifications) of adequate size to run the mobile experience, alongside any electricity access explicitly outlined in the setup brief.Travel and Parking: Client must provide or arrange for clear loading/unloading access and dedicated parking for Company vehicles at the Event location. Any parking fees, tolls, or permits required by the venue are the sole responsibility of the Client.Company Insurance: Company maintains commercial general liability insurance coverage appropriate for the deployment of mobile experiential events. A Certificate of Insurance (COI) naming the Client or the venue as an additional insured can be provided upon written request, subject to at least five (5) business days' notice.Client Property: Company is not liable for any pre-existing damage to the Client’s venue or property, except where directly caused by the gross negligence or willful misconduct of Company staff during setup, gameplay, or teardown.7. GENERAL PROVISIONS
Severability: If any provision of this Agreement is found to be unenforceable or invalid, the remaining provisions will remain in full force and effect.Governing Law: This Agreement shall be governed by, and construed in accordance with, the laws of the Commonwealth of Virginia, without regard to its conflict of law principles. Any legal action arising from this Agreement must be brought in a court of competent jurisdiction located in Richmond, Virginia.
